Viewing an Appointment

Understanding what’s new and how to act on it

The new design makes all of this more intuitive, giving you the right information exactly where you expect it, whether it’s to check details, collect a copay, or confirm the patient’s arrival.

1. Clear, Stacked Information

Each piece of information is now displayed one below the other, making it easy to scan.


You can quickly confirm:

  • The patient and case

  • The provider

  • Location and session duration

  • Date and time

No more clutter or hunting for details, everything is visible at a glance.


2. Actions Live in the “More Options” Menu

In the top-right corner, you’ll now find a three-dot menu (⋯).
This is where you’ll manage your appointment actions, like:

  • Edit, Copy and Collect balance

  • Send form and Send confirmation

  • Reschedule or Cancel

This keeps your view clean while still giving you all the control you need.


3. Payment and Type Information

Right below the appointment details, you’ll see the payment type and amount due:

3.1 Insurance-related

If it’s insurance-related, you’ll see the patient’s copay (for example, “$25 copay required”).


3.2 Self-pay

If it’s a self-pay appointment, you’ll see the full amount owned by the patient.

This helps the front desk prepare for payment collection before the session begins.


4. Take Action, Collect or Check In

Next, you’ll find the main action button: Collect copay or Collect payment.
Click it to process payments directly from the appointment view.

Below that, you can:

  • Mark the patient as a No Show, or

  • Check In once they arrive.

These buttons make it easy to update visit status in real time.


5. Handle Items That Need Attention

The Items to Review section is now smarter, it only shows what truly requires action.
You might see things like:

  • “Missing authorization”

  • “Low visits remaining”

  • “Balance due”

Clicking on any item will guide you to the right place to resolve it, whether that’s collecting payment, verifying insurance, or updating paperwork.


6. Quick Overview at the Bottom

At the end of the sidebar, you’ll find the Quick Overview panel.
This gives you an instant summary of:

  • Clinical Note status (“In Progress”, "Submitted")

  • Paperwork submitted dates

  • Confirmation emails sent

  • Next appointment info

It’s the perfect spot to double-check that everything’s ready for the patient’s next visit.


7. Summary

The new appointment view is all about clarity and efficiency.
From understanding billing risks to collecting payments faster and checking in patients in one click, this redesign helps your clinic stay organized and proactive.
