How to Edit an Appointment

In this article, you’ll learn how to edit appointments, how changes apply to recurring series, and why some appointments can’t be edited once a clinical note exists.

This guide explains each scenario and what to expect.

1. Editing an Appointment With a Recurring Setup

If the appointment already has a repeat pattern (daily, weekly, etc.), editing follows a two-step flow.

Step 1: Make your changes

You can edit the appointment normally.

Step 2: Confirm how changes apply

When you click Save, a confirmation modal appears.

If you did not change the recurring setup

You’ll be able to choose between:

  • This appointment only

  • This and following appointments

This lets you decide whether the update applies just to the selected visit or to the rest of the series.

✅ Tip: If you did change the recurring setup, only “This and following appointments” is selectable. This is intentional to avoid breaking the repeat pattern.
Changes to recurrence rules (days, frequency, end date, etc.) must always apply to the series moving forward.


2. Applying Recurring on a Existing Appointment

If the appointment has never had a repeat set, the same confirmation logic applies.

  • When you click Save, a confirmation modal appears.

  • You’ll see the same options:

    • This appointment only (Disabled)

    • This and following appointments

In this case, “This and following appointments” will be the only option available, and you will create a recurring appointment starting from this one.


3. Forms sent to the patient

If a form was selected and sent to the patient when the appointment was created, it cannot be changed while editing the appointment.

  • You won’t be able to select a new form.

  • You won’t be able to unselect the existing form during editing.

This is intentional to avoid confusion or duplicate form requests for the patient.

How to resend a form

After saving the appointment, you can resend the form using the appointment actions menu. This allows you to re-send the same form without changing the original appointment setup.


4. How Clinical Notes Affect Editing

Clinical notes always take priority to ensure accurate and compliant patient records.

4.1 Non-recurring appointment with a clinical note

Editing is blocked immediately.

  • You won’t enter the editor.

  • A modal explains why editing isn’t allowed.

  • You can choose View note to review the documentation.

4.2 Recurring appointment with clinical notes

Editing is allowed initially, but restrictions apply when saving:

  • This appointment only

    • If the selected appointment has a clinical note, saving is blocked.

    • A modal explains the restriction and offers View note.

  • This and following appointments

    • Any future appointment with a clinical note is automatically skipped.

    • Changes apply only to appointments without clinical notes.

    • The confirmation modal explains this behavior.


5. Summary of Editing Rules

  • Appointments without clinical notes can be edited.

  • Appointments with clinical notes cannot be edited.

  • Any appointment with a recurring setup always shows a confirmation step on save.

  • If the recurring setup itself was changed, only “This and following appointments” is allowed.

  • Clinical-note appointments are never modified, even when editing a series.
