In this article, you’ll learn how rescheduling works in Patient Studio, how it differs from editing an appointment, and what to expect when rescheduling appointments that belong to a recurring series or have clinical notes.
Rescheduling is designed for one-off changes, for example, when a patient needs to move a single visit to a different day or time.
1. What rescheduling does
When you reschedule an appointment:
The appointment date and/or time is updated.
The change applies only to that specific appointment.
If the appointment is part of a recurring series, it is removed from the series.
The rest of the recurring appointments remain unchanged.
Because of this, rescheduling does not show any recurring options.
2. How to Rescheduling an Appointment
Open the appointment actions menu.
Select Reschedule.
Choose the new date and time.
Click Save.
The appointment will move to the new date and time as expected.
3. How Clinical Notes Affect Rescheduling
Clinical notes always take priority to protect patient records and compliance.
3.1 Appointment with a clinical note
If the appointment already has a clinical note:
Rescheduling is blocked.
You won’t be able to proceed.
A modal explains why the appointment can’t be changed.
You’ll have the option to View note.
3.2 Appointment without a clinical note
Rescheduling works as expected as described on step 2.
4. Forms during rescheduling
If a form was selected and sent to the patient when the appointment was created:
You can’t select a new form or remove the existing one while rescheduling.
After the appointment is saved, you can resend the form using the appointment actions menu.
Reminders remain unchanged unless updated separately.
5. Summary of Rescheduling Rules
Rescheduling always applies to one appointment only.
Rescheduling removes the appointment from any recurring series.
Recurring options are not shown during rescheduling.
Appointments with clinical notes cannot be rescheduled.
Forms already sent to the patient can’t be changed during rescheduling but can be resent after saving.
